These Terms and Conditions govern the relationship between you, the client or booking agent (the "Client/Agent"), and WildTour Co., Ltd. ("WildTour", "we", "us", or "our"). By booking a WildTour tour or service, you agree to be bound by these Terms and Conditions. They include important provisions concerning payment, cancellation, itinerary changes, liability, dispute resolution, and claims. Please read them carefully before confirming a booking.
Unless otherwise stated, all prices quoted to the Client/Agent are net prices in United States Dollars (USD) and are valid until the date stated on the quotation and/or invoice issued by WildTour. Prices are correct at the time of issue but may be adjusted to reflect changes in market conditions, taxes, exchange rates, or other applicable costs, with or without prior notice.
Unless a quotation or itinerary states otherwise, WildTour tour packages generally include meals, drinking water, internal transportation, accommodation, and guiding services.
Accommodation inside Vietnam's national parks is generally basic; however, the rooms used by WildTour normally have private bathroom facilities and either a fan or air-conditioning.
At some national parks, electricity may be supplied by a generator and may only be available during certain hours, particularly in the evening.
In major towns and cities such as Ho Chi Minh City, Da Lat, Da Nang, Hue, Hanoi, and Sapa, accommodation generally ranges from 3-star to 5-star hotels, depending on the itinerary and quotation.
Ground transportation is normally by a modern air-conditioned car, van, or minibus appropriate to the group size and itinerary.
At some birding sites, access may involve a jeep, pickup vehicle, boat, motorbike, bicycle, or other locally appropriate transport.
Where an itinerary includes domestic rail or air travel, the specific service and operator will be stated in the itinerary or booking arrangements.
Reservations may be made through the WildTour website, by email, or by other booking channels accepted by WildTour. Once a reservation is confirmed:
WildTour also reserves the right to make reasonable corrections or adjustments to tours, programs, prices, or services when necessary and in the best interests of the Client/Agent, with or without prior notice. Written confirmation and a receipt will be provided following confirmation of the booking and payment arrangements.
Payment may be made in an accepted currency and converted to USD using the exchange rate published by the Joint Stock Commercial Bank for Foreign Trade of Vietnam (Vietcombank) at the time of payment.
MasterCard, Visa, Diners Club, and American Express are accepted, subject to an additional processing charge of 3.5% of the amount paid.
Payments are subject to an additional processing charge of 4.5% of the amount paid.

If the Client/Agent cancels a trip or service, WildTour must be informed in writing. Cancellation charges are calculated as a percentage of the total tour price, based on the date and time WildTour receives the written cancellation in Vietnam:

After the tour begins, any additional costs resulting from changes requested by the Client must be paid by the Client. Any unused portion of a tour or service is non-refundable and cannot be exchanged for another service.
Refunds are calculated based on the date WildTour receives the written cancellation in Vietnam. Approved refunds will be processed within 30 days after receipt of the cancellation notice. A refund service charge of USD 50 per refund transaction applies.
All clients are required to obtain comprehensive travel insurance before the tour begins. At a minimum, the policy should cover accident, medical expenses, emergency repatriation, and loss of personal belongings. WildTour strongly recommends arranging insurance from the time of booking so that eligible cancellation costs arising before departure, including those related to illness, may also be covered.
It is the Client's responsibility to hold a valid passport and, where required, the appropriate visa or entry authorization. The passport should remain valid for at least six months after the end of the tour. WildTour accepts no responsibility for a Client's failure to meet passport or visa requirements.
Health, vaccination, malaria, and entry-health requirements can change. Clients are responsible for obtaining current advice from their doctor, travel clinic, or other qualified health provider before travel. Any costs arising from failure to meet applicable health requirements are the Client's responsibility.
WildTour will carry a first-aid/medical kit appropriate to the areas being visited. Clients must inform WildTour in advance of any health problem or physical limitation that may be relevant to safe participation in the tour or to emergency planning.
A booking made on a shared-room basis is accepted on the understanding that, if no suitable roommate is available, the Client may be required to use single accommodation and pay the applicable single-room supplement.
Smoking is not permitted in a shared room when the roommate is a non-smoker.
Although WildTour will make reasonable efforts to provide single accommodation when requested, single rooms cannot be guaranteed at every location. In the event of an unexpected lack of single accommodation, the Client agrees to share a room if necessary.
Birding and wildlife tours are affected by factors that may change without notice, including weather, road and transport conditions, local circumstances, political situations, and bird or wildlife movements. WildTour and its local ground agents therefore reserve the right to change an itinerary when reasonably necessary.
If the tour leader changes the itinerary during the trip, Clients are expected to respect the leader's professional judgment, particularly where the change is made in response to safety, logistics, local conditions, or bird and wildlife movements.
Birdwatching is generally more effective and enjoyable in small groups. WildTour aims to maintain a favorable leader-to-client ratio so that participants receive personal attention and have good opportunities to see and enjoy the wildlife. Depending on the itinerary, tours are generally limited to approximately 6-12 clients per group unless otherwise stated.
Tour prices are normally calculated well in advance, and unexpected cost increases can occur. WildTour reserves the right to apply a surcharge where costs increase due to governmental action, aircraft fuel, overflight charges, airport charges, or transport charges.
For the surcharge items listed above, WildTour will absorb an amount equal to 2% of the tour price, excluding insurance premiums and amendment charges. Only the portion of qualifying increases above that 2% threshold will be passed on to the Client.
WildTour also reserves the right to correct promotional or pricing errors and to adjust program prices when costs change due to airfares, cruise fares, currency fluctuations, taxes, fuel surcharges, or other cost changes described in the quotation or booking documents.
WildTour takes reasonable steps to ensure that its published tours and travel arrangements are properly organized and that the travel agents, vehicle providers, hotels, restaurants, and other suppliers it uses are reputable.
WildTour accepts liability for loss or damage that is the direct result of WildTour's negligence or breach of contractual duty in making arrangements for the Client, including relevant acts or omissions by its agents, subject to the limitations stated in these Terms and Conditions.
WildTour does not accept liability for claims arising from carriage by air or sea. WildTour also does not accept liability for losses, delays, or additional expenses arising from events such as transport delays, sickness, adverse weather, strikes, war, or other political crises.
Any dispute, claim, or litigation relating to WildTour's services should first be addressed through negotiation and mutual understanding between the parties. If the matter cannot be resolved through negotiation, it will be finally settled by local arbitration in Vietnam.
All claims must be submitted to WildTour in writing within 30 days after the end of the relevant services.
